Outsourced tests

Flag tests you send to a reference lab and release them by uploading the partner's PDF report.


Not every test runs on your own analyzers. Specialised assays are often sent to a reference lab, which returns a finished PDF report. Labgen handles these end to end: flag the test once in your catalogue, and every order for it skips the machine queue and waits on the Report Status board for the partner's PDF — uploading it releases the report in one step.

Flag a test as outsourced

  1. 1Open Lab Config → Test Catalog.
  2. 2Find the test and tick the Outsourced box on its row — that's all it takes.
  3. 3Optionally, click Edit on the test and pick the partner lab you send it to (add one inline with + Add Lab the first time). Naming the partner keeps your records complete and powers outsourcing spend in MIS.

Your flag, your lab only

Outsourcing is a per-lab setting — flagging a shared catalogue test marks it outsourced for your lab only. The same test can be in-house for another lab on Labgen.

What happens at registration

Nothing changes for your front desk. Add tests to the order as usual — an outsourced test simply shows a small Outsourced tag in the test ledger. Behind the scenes it takes a different path: instead of joining the analyzer and result-entry queues, it goes straight to the Outsourced station on the Report Status board, marked as awaiting the partner lab's report.

The sample itself is still collected and barcoded normally — you draw it, label it, and ship it to your reference lab with your usual logistics.

Upload the report to release it

  1. 1When the partner lab's PDF arrives, open Report Status and click the Outsourced chip to see everything awaiting a report.
  2. 2Click Upload Report on the entry (on mixed orders it appears as Upload · N next to the other actions).
  3. 3Pick which test the PDF belongs to (when several are out), choose the file, and click Upload & Release.

Uploading is the release: the test moves to Released immediately, and the report-ready SMS goes to the patient if ticked — exactly like a normal release. The uploaded PDF stays attached to the entry, viewable any time from the board's PDF button — and it appears in the patient portal too: when the patient logs in, the outsourced test shows a "Report ready" badge with a View report button that opens the partner lab's PDF.

Balance due is still guarded

If the bill has an outstanding balance, Labgen asks for an explicit confirmation before releasing — the same safeguard as a normal report release, and the override is audit-logged.

Records and compliance

  • Every order remembers where it went. The partner lab's name is stamped on the order at registration, so historical records stay accurate even if you later change the catalogue mapping.
  • Disclosure-ready. NABL guidelines expect referred tests to be identified as such — the outsourced flag and partner name give you that trail per test.
  • Audit-logged. Each upload records who uploaded which file for which test, and when — visible in the Data logger.
  • MIS-ready. Because fee and partner-lab cost are both captured per order, outsourcing volume, spend, and margin per partner can be reported from MIS & reporting.
